 SALEM WOODS CIVIC ASSOCIATION BOARD MEETING
11/2/09

The Annual Board Meeting of the Salem Woods Civic Association was called to order at 7:05 p.m. by  President  Kirk Traber with the following Board members present, Sean Butcher, Doris Meixel, Dustin Sievers, Skip Heyman, Heidi Rosen and Pete Leavitt.  SWCA members Kathy Toll, Jim Bayley, Adda Kunkel, and Kenny Sessoms were also in attendance.
Old Business:  There was no old business to discuss.
New Business: 
President, Kirk Traber

Attorney Doug Davis needs 2 more letters from developers to get the remaining sections properly deeded.  If this takes a lot longer we need to look for another attorney.  The bylaws are being updated.  We will vote on them next year.
The Craft Fair was a great success.  We made a little over $400 in profit from the table charges, raffle and concessions.  Belinda did a great job setting it all up.  We would like to have another Craft Fair next Spring.
Treasurer, Heidi Rosen

Heidi presented the income and expenses so far for 2009.  The amount budgeted for expenses for the year was $69,654.  We have received $53,845 in income for the year and spent $54,323.  We have transferred $2,932 from reserves and anticipate transferring another $3,000 to get us through the remainder of this year and early 2010 before SWCA dues money starts to come in.  Budget is available in the office.   Jim Bayley, a past Treasurer of SWCA, talked about money eventually running out of SWCA’s coffers, a great concern of all of us, and that we really need more pool members. 

Neighborhood Watch
Skip has been gaining block Captains.  Eight new block captains joined at the Craft fair.  About 75% of the neighborhood has been covered.  We still need block captains in the following areas: Revere, Derby Wharf, Ashburnham Arch, portions of Boxford Rd.etc.   Skip would like to have a NW cookout/membership drive event in the Spring.  At some point we hope to get NW members to become SWCA members and encourage their neighbors to do so also.  Discussion ensued on a door to door drive to get membership.  Kenny Sessoms and Adda Kunkel  mentioned that most people would probably join if they really understood all that SWCA does and needs from the community.  The SWCA billing may get ignored because it comes around the holidays and is voluntary.  Maybe block parties can be employed for Neighborhood Watch captains and more people will join SWCA as a result. 

Facilities

Kirk, speaking for Scott Kittell, reiterated the need for a new diving board for next season ($1500), new door and security lights for the office building, and removal of the sand filter from  the pump room at the old small pool.  Purchases are being tabled at this point due to lack of funds.
Welcome, Doris Meixel

All new residents have been welcomed.  Doris would like some newsletters for future welcome bags.  If anyone has home businesses they can give her brochures, business cards, etc. to go in the bags.
Security, Pete Leavitt

Pete and Skip both receive emails from Officer Kreiger, our Crime Prevention Officer.  Pete will send info to Skip whenever he receives anything from her.  Pete discussed the parking of buses on neighborhood streets.  He sends complaints of this type to Traffic Engineering. There was further discussion concerning buses and boats parked on the street.
Webmaster

Dustin will have some training for us on a Thursday night to learn how to post to the website.  Dustin wants to upgrade our website with more pictures.  Questions posted on the forums will be sent to the appropriate person to be answered.  The need for a suspend date for questions on the forum was discussed.  Discussion ensued on having a city events calendar on the website and starting a business directory as a benefit to SWCA members.
Annual Mtg. Vote:

The SWCA dues fee of $60 was approved for 2010.
The following people have been voted onto the Board of Directors for 2010:  Scott Kittell, Lita Gedro, Heidi Rosen, Pete Leavitt, Doris Meixel, Kirk Traber, Dustin Sievers, Sean Butcher and Skip Heyman.  In addition, Kenny Sessoms was voted onto the Board for 2010.
Verification of quorum:  10 percent of the membership voted (29 out of 280 SWCA members) meeting the 10 percent quorum.
There being no further business to discuss, the meeting was adjourned at approximately 8:45.
