SALEM WOODS CIVIC ASSOCIATION BOARD MEETING
8/3/09

The Board Meeting of the Salem Woods Civic Association was called to order at 7:15 p.m. by President
Kirk Traber with the following Board members present: Sean Butcher, Doris Meixel, Skip Heyman,
and Heidi Rosen. Kathy Toll, office manager was also present.

Old Business: There was no old business to discuss.

New Business:

President

Kirk Traber informed us that Dustin would not be in attendance this evening to train all of us in
the usage of the CiviCRM database on our website. We all agreed that training would be helpful
in order for us to post pages or send mass emails to the community. Some Board members still
need their passwords in order to log on.

Kirk received a complaint from a resident on his work phone. We need to keep some numbers
private and use other channels for contact. Kirk has a statement on our website stating that we
are all volunteers and none of us are paid. Some people actually think Board members are paid!
He reiterated that we all put in a lot of volunteer time and if someone has a complaint we do
want to hear it and will do our best to solve it.

We would like to plan a year end party or free pool day at the end of pool season. Belinda
Traber (stand in volunteer for Spirit/Rec) is planning a Craft Show in October on the 17th. We
have nine people signed up so far, but need 15. Tables will be outside in the parking lot at the
office location. Tables are $15, with a $3 entrance fee for residents of Salem Woods. Nonresidents
have different pricing.

Vice President:

Sean Butcher had no new business to discuss.

Treasurer:

Heidi Rosen presented what was budgeted for this year and what we have actually spent. At this
time last year, we had received $50,730 in income and spent $38,800. This year we have
received $49,417 and have spent $33,805. We had budgeted to make $53,845 in income for this
year, so we are approximately $4,674 short of that goal. Skip brought up for discussion what we
were making on concessions. The goal is to double the product cost. So far this year we have
spent $1,049 on concessions and earned $1720. Monies are still coming in and we have quite a
bit to sell yet in inventory. Heidi noted we are earning very little in dividends on our paypal
account compared to last year. Kathy will investigate this.
